Apparatix Review (2026): Features, Pricing, Pros and Cons
By Gabie Research · Updated Oct 16, 2026 · 8 min read
Short answer
Apparatix is a strong pick for independent billboard operators who need a full back office. It covers an OOH CRM, proposals, e-signed contracts, posting, proof of performance, leases and billing. It says it serves 400+ operators. The tradeoffs: no public price, no self-serve signup, and its AI briefs a rep on a lead instead of finding and contacting new ones.
- Verdict
- A full back office built for independent billboard owners, strong on contracts, posting, leases and billing, but priced only after a demo and not built to find new advertisers.
- Best for
- Independent operators whose hard problem is paperwork: billing, leases, posting and proof of performance.
- Apparatix says it serves 400+ operators, including half of the top 20 independent OOH companies.
- In 2025 it rebuilt its CRM and its e-sign tool. E-sign has no per-user fees.
- AI Sales Profiles cost a monthly fee per user, plus about $0.70 a profile on average.
- Apparatix doesn't publish software prices. You start with a demo.
- Best when paperwork is the pain. Less of a fit when empty faces are the pain.
Apparatix is a strong pick for independent billboard operators who need a full back office. It runs contracts, posting, proof of performance, leases and billing in one place. It also has a CRM built for OOH. The tradeoffs are a price you only get after a demo, and AI that preps a rep instead of finding new buyers.
What is Apparatix?
Apparatix is cloud software for out-of-home (OOH) companies. It has been around since 2005. Its homepage says it serves 400+ operators. It also says its operators include half of the top 20 independent OOH companies, for both posters and digital faces. Another Apparatix page says it powers over 60% of independent inventory in the U.S. (Revenue Revolution).
It is also widely used. In a 2024 Billboard Insider poll, readers named QuickBooks, Apparatix and BillboardPlanet as their top tools.
Most of Apparatix is "back office." That is the work after a deal is signed. Someone posts the copy and proves it ran. Someone pays the landlord and renews the permit. Someone sends the bill and chases it. For a busy owner, this is where the hours go. Apparatix covers that work in depth. Lately it has added more sales tools, like a new CRM and AI profiles.
Apparatix runs a yearly user event called Unleashed. Its team says it closed 7,619 support tickets in 2025, per its 2025 review.
How much does Apparatix cost?
Apparatix doesn't publish its software prices. There is no pricing page and no self-serve signup. Every path on its site leads to a demo request.
| Item | Price as published (Oct. 8, 2026) |
|---|---|
| Core platform | On request (book a demo) |
| AI Sales Profiles | Monthly fee per user (amount not published), plus a usage fee per profile |
| Average AI profile | About $0.70 each, per Apparatix |
| E-signature | Priced per document, no per-user fees (amount not published) |
| Setup and data import | Not published |
The AI profile price comes from the AI Sales Profiles page. It says most profiles cost under a dollar.
What features does Apparatix include?
Apparatix covers most of the work after a deal is found. Here is what its own pages list.
| Area | What Apparatix lists |
|---|---|
| CRM | Pipeline swimlanes, mobile access, four-week projections, AI sales prompts |
| Proposals and contracts | "From conversation to proposal to signature" |
| E-signature | Rebuilt in 2025: reminders, resend, in-app signing, no per-user fees |
| Pricing rules | A rule-based pricing engine tied to live availability |
| Digital | Automated digital charting, dynamic creative, programmatic links |
| Fulfillment | Mobile and maintenance work orders, warehouse stock, camera capture |
| Proof of performance | Automated proof-of-performance reports |
| Real estate | Real estate tools and KPIs for leases |
| Billing and books | Billing, accounting and a QuickBooks link, per a 2016 Billboard Insider profile |
| AI | AI Sales Profiles: a brief on a business in under 5 minutes |
| Other | Programmatic mediation, attribution, audience metrics, automated RFPs |

How does a deal move through Apparatix?
Here is the path its pages describe, from first call to proof.
- A rep logs the lead in the Sales module and works it in the pipeline view.
- The rep builds a proposal from open faces and rates set by pricing rules.
- The advertiser signs the contract by e-sign, with reminders if they stall.
- The contract charts the campaign. For digital, charting is automatic.
- The job goes to a crew as a work order on a phone.
- Proof of performance reports build on their own.
- Billing and accounting close the loop, per its long-time profile.
That is the core strength. Each step hands off to the next, so fewer things get typed twice.
How good is the Apparatix AI?
AI Sales Profiles do one job well. A rep types a business name and a city. In a few minutes, the rep gets a brief. It covers brand voice, top products, decision makers, competitors and conversation starters. When the web has little on a business, the profile labels the gaps. Apparatix says this saves an hour or more of research per lead.
The limit is where it starts. The rep has to pick the business first. The profile doesn't search near an open face, check an email or write the first message. Its CRM page also lists AI prompts that help reps rank deals.
What did Apparatix ship in 2025?
Its 2025 review lists four big changes:
- E-sign, rebuilt. Apparatix moved to a new e-sign service to avoid a cost rise of nearly 6 times.
- CRM redesign (May 2025). The Accounts module became the Sales module, with faster lead entry and swimlanes.
- Summer updates. Auto-loaded contacts, unlimited tags, a "days owned" view and better real estate tools.
- AI Sales Profiles (October 2025). A brief on brand voice, contacts, competitors and local news.
What does Apparatix not include?
These gaps come from what its site does and doesn't show.
- No public price. You can't compare cost before a sales call.
- No self-serve start. You can't sign up and load your faces on your own.
- No outbound prospecting in its published features. AI Sales Profiles need a business name and city from the rep. Apparatix doesn't say it finds new buyers near an open face or sends the first email.
Who is Apparatix for?
Apparatix fits independent operators with a real back office to run. Think of a company with a real estate team, a posting crew and someone on billing. If those jobs eat your week, Apparatix is built for them.
It also fits owners with both static and digital faces. Its fulfillment tools chart digital campaigns and run work orders for static ones.
How does Apparatix handle digital billboards?
Apparatix lists tools for both static and digital faces. For digital, it charts campaigns from the contract on its own. It supports dynamic creative and changes to the schedule. It also lists programmatic links and "programmatic mediation," which lets unsold slots earn from outside buyers. Ask which content systems it connects to. Your LED boards may run on the sign maker's software or on Broadsign.
Is Apparatix good for small operators?
It can be. Its site speaks to independent operators of all sizes. But it is a full system. If you have a few boards and one person selling, you may not use most of it. Ask whether you can start with fewer modules.
Who is Apparatix not for?
- Owners whose boards sit empty. Apparatix manages demand well. It doesn't go out and create it.
- Very small owners. A few boards with steady tenants may not need a full back office.
- Buyers who want a price first. You'll need a demo and a quote.
What are the pros and cons of Apparatix?
| Pros | Cons |
|---|---|
| Built only for OOH, since 2005 | No published software prices |
| Covers posting, proof of performance, leases and billing | No self-serve signup or trial |
| E-sign with no per-user fees | AI briefs a lead; it doesn't find or contact one |
| Widely used by independents | A big system to set up and learn |
| Handles static and digital faces | Many features; you may pay for parts you don't use |
| Active updates in 2025 | Its newer AI adds a usage fee per profile |
What are the best Apparatix alternatives?
| Tool | Best for | Tradeoff | Price as published |
|---|---|---|---|
| BillboardPlanet Quantum | One system from quote to install to accounting | Also no public price | On request |
| SignDash | Small US owners who want simple proposals and e-sign | Lighter back office | Set at signup; $250 a year per extra 100 faces |
| Gabie | Owners with empty faces and a thin sales team | No billing, invoices, payments or e-sign | Free to 100 faces; then $0.25 a face a month |
| AdQuick | Owners who want national buyers to see their boards | Built for buyers and sellers both | On request |
| Spreadsheet plus QuickBooks | A few boards with long-term tenants | Nothing tracks what's open | Low cost |
BillboardPlanet Quantum is the closest match. It covers inventory, CRM, quotes, contracts, work orders, proof of performance and accounting links. SignDash is lighter, and it publishes its rate for extra faces.
Gabie does a different job. Gabie Scout, its AI rep, works each open face. Scout finds local businesses near the face and drafts a short email. By default, each send waits for your approval. Then it goes from your own mailbox. Gabie is free up to 100 faces (Gabie). It has no billing, so you could keep Apparatix for the books.

What should you ask in an Apparatix demo?
Bring a real export of your faces and a recent contract. Then ask:
- What is the yearly price for my number of faces and users? What's extra?
- Which modules come in the base price: billing, real estate, fulfillment, yield?
- How do you load my faces, leases and live contracts? Who does it, and how long does it take?
- How does billing reach my books? Which QuickBooks versions do you support?
- How are AI Sales Profiles billed per user, and can I cap usage?
- Can I export all my data if I leave?
Write the answers down. Then ask other vendors the same six questions.
Is Apparatix worth it?
Yes, if your hard problem is the back office. Apparatix is built for the work after the sale. That means contracts, posting, proof, leases and billing. It is widely used and still shipping updates.
It is less of a fit if your boards sit empty. Its tools help you run deals, not find them. And you can't see a price before you talk to sales. Ask for a written quote, a data import plan and a list of what's extra.
