Spreadsheet alternatives for billboard owners in 2026

Every owner starts in a spreadsheet. Here’s what to move to when the sheet can’t keep up. We also say what each one really does for you.

  1. 01

    Gabie

    Best pick for owners

A spreadsheet is a record of what already happened. Gabie acts on it. It works each open face and sorts each reply. Each renewal lands on a rep’s list before it runs out.

    • Vacancy stops being a blank cell
    • One true list of what’s open
    • Renewals come to you
    • Your sheet is the migration
  2. 02

    Apparatix

    Best for
Owners who want a full OOH back office for billing, leases, commissions and posting.
    The tradeoff
A bigger system to set up, and you only get prices by asking for a demo.

  3. 03

    SignDash

    Best for
Small owners who want simple proposals, e-signed contracts and QuickBooks invoices.
    The tradeoff
Helps close the deals you find, but doesn’t find new ones.

  4. 04

    HubSpot

    Best for
Teams that want a free, well-known CRM for contacts and deals.
    The tradeoff
It doesn’t know what a face is, or when it’s open, without Enterprise custom objects.

  5. 05

    BillboardPlanet

    Best for
Owners who want quotes, installs and accounting in one system.
    The tradeoff
A deep back office, but nothing in its published features goes out to find new buyers.

When Spreadsheets is still the right call

For some owners, a clean spreadsheet and QuickBooks is honestly enough.

Questions people ask

Is Gabie really free for small billboard operators?

Yes, up to 100 faces. Above that, it’s $0.25 a face a month, with everything included. You pay by face, not by seat. Scout outreach has no extra fee.

Can I import my billboard spreadsheet into Gabie?

Yes. Upload a CSV of your structures and faces. Or drop in PDF, Excel and image rate sheets, and Gabie pulls out the faces. Add columns for current advertiser, end date and rate to bring in active bookings too.

Do I still need QuickBooks?

Yes. Gabie doesn’t do invoicing or accounting today. It handles the selling side: inventory, prospecting, CRM and proposals.

What’s the best way to track billboard inventory?

Track each face, not just each structure. Note when it’s open, who’s on it, the end date and the rate. A spreadsheet can hold that. The problem is that nobody acts on it. Gabie keeps the same data and works the empty faces.

How long does it take to move off spreadsheets?

If your structures are already in a sheet, the import takes minutes. Loading contacts and setting up Scout’s sending mailboxes takes longer. We do that with you during onboarding.

Every empty face is money you already spent.

Sign up free for your first 100 faces, or bring three open faces and we run Scout on them while you watch.
