Short answer: A spreadsheet plus QuickBooks is fine for a few boards, long-term tenants and one person selling. Switch when two reps quote one face, a renewal slips, or a lease or permit date passes unseen. In Billboard Insider's August 2026 reader poll, 14% of the shares went to Excel. Apparatix, BillboardPlanet and SignDash together got 59%.

Key takeaways:
- In Billboard Insider's August 2026 reader poll, 14% of the shares went to Excel. The three named billboard systems got 59%, by our math.
- A spreadsheet is flexible and easy to start. It does not stop a double booking or warn you about a renewal, lease or permit date.
- QuickBooks does the books. Billboard software does faces, holds, proposals and renewals. Most owners need both.
- Posted software prices: Elevate OOH from $350 a month, SignDash $250 a year per extra 100 faces, Gabie free to 100 faces. Apparatix and BillboardPlanet post none.
- Switch when the sheet costs you a booking, a renewal or a lease date, not before.

## What does a spreadsheet do fine?

More than people admit. A sheet bends to any layout. You can add a column the same day. Nobody needs training.

For a few boards with long-term tenants, that is often enough. One person knows every face. The sheet is a list, and the
list rarely changes. QuickBooks sends the bills and keeps the books.

Readers say so too. Billboard Insider's [August 11 results post](https://billboardinsider.com/billboard-insider-billboard-software-poll-results/)
quoted a reader whose peers argued that "a better excel workflow" was all they needed. So a tidy sheet can work.
The trouble starts when the business grows around it.

## Where does a spreadsheet break?

It breaks at the points where several people, dates and rates meet. A sheet records what you typed. It does not check it.

### Double bookings

A shared sheet lets two reps type the same face into two rows. Nothing compares the flight dates. You find the
clash when the second advertiser asks why their ad is not up. Billboard software puts open dates in front of the rep.
SignDash says it shows face availability in real time while you build a proposal. Apparatix lists real-time avails
and charts built from contracts.

### Stale rates

A rate sheet gets copied into a deck. Then the rate changes, and the deck does not. A rep quotes last quarter's
number. Apparatix lists a rule-based pricing engine. Its yield page says pricing changes as inventory fills, clears
or becomes constrained.

### Renewals

A sheet has an end-date column. It does not tell you a contract ends in 60 days. You must sort and look, every week.
Busy weeks skip the look. Then a renewal slips, and the face goes empty. SignDash's dashboard lists renewals. Elevate
OOH's launch post lists easy renewals.

### Lease and permit dates

The ground lease and the permit also have end dates. They sit in a column, a PDF or someone's memory. A sheet cannot
stop a rep from selling a flight that runs past the lease. QuickBooks can pay the rent bill, but it is built for the
books, not for lease terms. BillboardPlanet's Quantum page lists lease details on each asset. Apparatix lists real
estate tools and KPIs. For permits and lease rules, read our
[inventory software guide](https://gabie.ai/learn/billboard-inventory-management-software).

### Two copies

The last break is quiet. Someone saves a copy. Someone else edits the old one. Now "which tab is current?" is a daily
question, and nobody trusts the numbers.

## How many billboard operators still use Excel?

Billboard Insider ran a reader poll in August 2026. It
[posted the results](https://billboardinsider.com/billboard-insider-billboard-software-poll-results/) on August 11.

| Answer | Share of votes |
|---|---|
| Apparatix | 40% |
| Something else | 28% |
| Excel spreadsheet | 14% |
| BillboardPlanet | 10% |
| SignDash | 9% |

The post says 14% "still use an excel spreadsheet". By our math, the three named billboard systems got 59%.
The shares add to 101%. The post gives no count of voters. It is a reader poll, not a survey of the industry.

An [August 10 post](https://billboardinsider.com/what-software-do-you-use-to-manage-your-out-of-home-advertising-company/)
set up the poll. It said some people use an Excel spreadsheet. It called SignDash simple and popular with smaller
companies. It called Apparatix and BillboardPlanet more complicated, with more capabilities.

One reader said the company needed "something better" than its Excel sheets. That reader looked at SignDash,
BillboardPlanet and Apparatix. The reader felt none gave everything needed for the price.

A [June 2024 poll](https://billboardinsider.com/quickbooks-apparatix-and-billboard-planet-are-most-used-ooh-software-tools/)
named QuickBooks, Apparatix and BillboardPlanet as the top three answers. It did not mention Excel, so we cannot
compare the two polls. See [what software billboard companies use](https://gabie.ai/learn/what-software-do-billboard-companies-use).

## What does billboard software cost?

Few vendors post a full price. Here is what each shows.

| Tool | What it publishes | Notes |
|---|---|---|
| Excel or Google Sheets | Not checked | You may already have one |
| [QuickBooks Online](https://quickbooks.intuit.com/pricing/) | $38, $85, $140 and $340 a month, each shown with 50% off for 3 months | 1, 3, 5 and 25 users; no annual contract. The page does not spell out the price after the offer. |
| [Elevate OOH](https://elevateooh.com/contact-us/) | "As low as $350 per month" | No tiers named. Went public Oct. 6, 2026. |
| [SignDash](https://signdash.com/tos) | Base fee set at signup; $250 a year per extra 100 faces | Unlimited users |
| Apparatix | No core price | AI profiles: a fee per user plus about $0.70 each |
| Apparatix, per a [partner's page](https://vantageled.com/apparatix/) | $35 or $50 per digital display a month; optional $3 per static board | Undated; footer says 2022 |
| BillboardPlanet | No prices | "Three Scalable Options" are not named |
| [Gabie](https://gabie.ai/#pricing) | Free to 100 faces; then $0.25 a face a month | At 300 faces, Growth is $75 a month by our math |

Keep QuickBooks in the plan. It does not go away. Some billboard tools link to accounting. Others leave it to you.
Gabie leaves billing in your own system.

To judge cost, add up what a slip costs you. A face sold twice, or a renewal that lapses, can cost you a four-week
flight. That is our view, not a statistic. Count how often it happens at your company. Then compare that with the
prices above.

## Do you still need QuickBooks?

Usually, yes. In June 2024, Billboard Insider described QuickBooks as "paid cloud-based accounting and invoicing." It
was one of the top three answers in that poll. Billboard software mostly covers faces, proposals and contracts.

Some tools link to accounting. SignDash was reported to link to QuickBooks Online in 2024. BillboardPlanet lists an
accounting link, and a partner's page lists QuickBooks in Apparatix's Essentials tier. Elevate OOH lists none. Ask each
vendor which records move, and in which direction.

## When should you switch?

Look for these signs. They are our advice, not a rule.

- A rep asks if a face is held, and nobody knows.
- Two advertisers are promised the same face.
- A quote goes out at an old rate.
- A renewal slips by.
- A lease or permit date passes before anyone notices.
- You add a second rep, and the sheet has two editors.
- You have empty faces and no one working on them.

One sign is a warning. Two or three mean the sheet now costs you money.

## How hard is it to switch?

Not very, if your sheet is clean. Here is a plan.

1. **Clean the sheet.** One row per face. Add columns for advertiser, end date, rate and lease end.
2. **Ask each vendor how it loads data.** Ask who does it and how long it takes. Gabie imports a CSV of up to 10,000
rows and reads Excel and PDF files.
3. **Run both for one four-week cycle.** Compare the new system with the sheet.
4. **Keep QuickBooks.** Do not enter an invoice twice.
5. **Retire the sheet.** Archive it, and stop editing it.

For QuickBooks pairing, see our [QuickBooks guide](https://gabie.ai/learn/quickbooks-for-billboard-companies).

## How do you make a spreadsheet safer?

If you stay on a sheet, tighten it. These steps are our advice.

- Keep one row for each face, not each structure.
- Give the sheet one owner. Others ask that person to change it.
- Keep one copy in one shared place. Delete old copies.
- Lock the rate sheet, so a quote always starts from the same number.
- Hold a weekly 15-minute review of every flight that ends in the next 60 days.
- Put lease and permit end dates on a shared calendar, with a reminder months ahead.

These steps cost nothing. They also take discipline, and they break when the person who keeps them is out. If you
cannot keep them up, that is a sign to switch.

## Pick a spreadsheet plus QuickBooks if

- You own a handful of boards and your tenants stay for years.
- One person sells and knows every face.
- You rarely have an open face.
- You want the lowest cost and any layout you like.

## Pick billboard software if

- More than one person quotes or books faces.
- You have missed a renewal, a rate or a lease date.
- You want proposals and contracts built from live open faces.
- You want one place for leads, quotes and holds.

> How Gabie handles this: Gabie is billboard software that can start from your sheet. It imports a CSV and reads Excel and PDF files. It
blocks a hold, booking or contract that runs past a ground lease or an expired permit. It flags bookings ending in 60
days as renewals at risk. It is free up to 100 faces, then $0.25 a face a month
([Gabie](https://gabie.ai/#pricing)). It has no e-signature, invoicing or QuickBooks link, so keep QuickBooks for the books.
See [Gabie vs spreadsheets](https://gabie.ai/compare/gabie-vs-spreadsheets).

## Questions people ask
### Can I run a billboard company on Excel and QuickBooks?
Yes, for a few boards with long-term tenants and one person selling. QuickBooks handles the money and a sheet holds the faces. It gets risky when several reps quote the same faces or end dates pile up.

### How many billboard companies still use Excel?
In Billboard Insider's August 11, 2026 reader poll, 14% of the shares went to an Excel spreadsheet. The post gives no count of voters, and the shares add to 101%. It shows what some readers said, not the whole industry.

### Do I still need QuickBooks if I buy billboard software?
Usually yes. Billboard software covers faces, proposals and contracts. QuickBooks covers the books. SignDash was reported to link to QuickBooks Online in 2024. Gabie has no QuickBooks link, so billing stays in your own system.

### What does billboard software cost compared with a spreadsheet?
A spreadsheet costs little or nothing to start. Elevate OOH starts as low as $350 a month. SignDash adds $250 a year per extra 100 faces after a base fee. Apparatix and BillboardPlanet quote on request. Gabie is free to 100 faces.

### When should I switch from a spreadsheet to billboard software?
Switch when a face is sold twice, a renewal slips, a rate is out of date, or you miss a lease or permit date. Also switch when you add a second rep. Count what one slip costs you, then compare it with the prices above.

### Can I import my spreadsheet into billboard software?
Often yes. Gabie imports a CSV of up to 10,000 rows and reads Excel and PDF files. For Apparatix, BillboardPlanet, SignDash and Elevate OOH, ask who loads your faces and live contracts, and how long it takes.
