Short answer: Billboard inventory management software keeps one record of every structure and face, its rate, and each hold and booking on it. For digital faces it also counts the slots in the loop. It should show what is open on any date and stop a double booking. Apparatix, BillboardPlanet, SignDash, Elevate OOH and Gabie list inventory tools. Retail stock software does not fit.

Key takeaways:
- A billboard company sells time on a face, not items from a shelf. The software must track dates.
- A good system shows open, held and booked dates for every face, and stops a double booking.
- A digital face has a loop. OAAA says six to eight advertisers often share one face.
- In a 2026 Billboard Insider poll, 14% of readers named an Excel spreadsheet.
- Gabie is free up to 100 faces. Most billboard inventory tools do not post prices.

Billboard inventory management software keeps one record of every structure and face. It also holds each face's rate and
every hold and booking on it. For a digital face, it counts the slots in the loop too. A good system shows what is open
on any date and stops a double booking. Retail stock tools count items on a shelf, so they do not fit.

> Note: Gabie makes one of the tools in this guide. We used the same rules for every tool. Facts come from each vendor's own
pages, read on October 12, 2026. Prices are what the vendor posts. If a vendor posts none, we say so.

## What does inventory mean for a billboard company?

Your inventory is everything you can sell. A shelf item sells once. A billboard face is sold again and again, one date
range at a time. So the key question is not how many faces you have. It is who has each face, and when it is open.

| Term | What it means | Example from Riverbend Outdoor |
|---|---|---|
| [Structure](https://gabie.ai/glossary/structure) | The steel, the site, the lease, the permit, power and access | The structure at US-45 Bypass in Jackson, TN |
| [Face](https://gabie.ai/glossary/face) | One side you can sell, with a size, a facing and a read direction | B-114 N, a lit bulletin that reads north |
| [Rate card](https://gabie.ai/glossary/rate-card) | The asking price per face for each 4-week period | $1,850 per 4 weeks for B-114 N |
| [Hold](https://gabie.ai/glossary/hold) | A face kept for one buyer for a short time | A hold for Hollis Family Dental |
| [Booking](https://gabie.ai/glossary/booking) | A confirmed flight on a face | Nov 2, 2026 to Apr 18, 2027 |
| [Digital loop](https://gabie.ai/glossary/loop) | The set of ads a digital face plays in turn | D-031: 8 slots of 8 seconds |
| Blackout and upkeep | Dates a face cannot be sold | A week of repairs |

### What is a structure, and what is a face?

A structure is the thing on the ground. A face is the part you sell. One structure can carry two or more faces. A
double-sided bulletin has two. They may reach different buyers, at different prices. So each face needs its own record.
The lease and permit belong to the structure, and they cap every face on it. See
[billboard sizes](https://gabie.ai/learn/billboard-sizes) for the common formats.

### What is a digital loop?

A digital face plays a loop of ads. Each ad holds a [slot](https://gabie.ai/glossary/spot). [OAAA](https://oaaa.org/resources/digital-billboards/)
says digital billboards typically have six to eight advertisers sharing the same location. It says ad messages change
every six to eight seconds. So the software must know the loop length, the spot length and how many slots are left.
Each booking takes one slot. A slot sold twice is the digital version of a double booking.

### How do you count slots on a digital face?

Take face D-031 from our sample. It has 8 slots of 8 seconds each. The loop is 64 seconds long. Each slot is one-eighth
of the loop, or 12.5% of the plays. A buyer who takes two slots gets 25%. If the software lets a rep sell a ninth slot,
it has failed. Our [digital loop calculator](https://gabie.ai/tools/digital-loop-calculator) runs this math for any loop.

### Who uses the inventory record?

Everyone at the company reads it, for a different reason.

- **Reps** check what is open and quote the rate.
- **Operations** posts copy, plans repairs and needs the face details.
- **Real estate staff** watch lease and permit dates.
- **Managers** watch how full the boards are.
- **The owner** wants to know what each face earns.

If each group keeps its own list, the lists drift apart. One shared record stops that.

## What should billboard inventory software do?

Use this table as a checklist. Ask each vendor to show every row on your own data.

| Feature | Why it matters | Ask the vendor |
|---|---|---|
| One record per structure and face | You can find any board fast | How many fields? Can I add my own? |
| Photos and a map | Buyers and crews need to see it | Is there a map view? Where do photos live? |
| Size, format, facing and read direction | A buyer asks about these first | Are these filled in for every face? |
| Rate on the face | Reps quote one number | Is the rate on the face, or in a file? |
| Open, held and booked dates | Reps see what is free | Does the calendar show all three? |
| Holds that lapse | Stale holds block real buyers | Do holds end on their own? |
| Double-booking block | A face is promised once | What happens if two reps book at once? |
| Digital loops | Each slot is sold once | Does it count loop slots? |
| Lease and permit dates | No flight runs past either | Does it warn me before a sale? |
| Traffic or audience | Rates rest on a number | Which source? What year? |
| Import | Moving in takes days, not months | Can you load my sheet and my rate cards? |
| Exports and reports | Owners ask how full the boards are | Can I export a CSV? Is there an avails sheet? |
| A feed to proposals | Quotes come from live avails | Do proposals read the same record? |
| Your data stays yours | You can leave | Can I get every record out? |

### Why do dates matter more than counts?

Track each face by date. A count such as "42 faces, 31 sold" hides the problem. The problem is which 11 are open,
and for how long. Your [occupancy rate](https://gabie.ai/learn/billboard-occupancy-rate) is only as good as the dates under it. Next
month's open faces matter more than today's.

### Why should the rate sit on the face?

If rates live in a PDF, they go stale. Put the asking rate on the face record. Then every proposal starts from the same
number. See [billboard rate cards](https://gabie.ai/learn/billboard-rate-card) for how to build one.

## Which tools list inventory features?

Here is what each vendor's own pages say. We list only what we read.

| Tool | Inventory features its pages list | Price shown |
|---|---|---|
| Apparatix | Real-time avails across business units; warehouse inventory for vinyl and other materials | None. Demo request |
| BillboardPlanet Quantum | Specs, maps, photos, demographics and lease details; availability reports | None. Demo request |
| SignDash | Faces and availability; a dashboard of occupancy; a WordPress plugin with a map | Set at signup; $250 a year per extra 100 faces |
| Elevate OOH | Inventory management; inventory maps for your website | From $350 a month |
| Watchfire Ignite OA | Inventory management features; ad scheduling for digital boards | Comes standard with every Watchfire digital billboard |
| Gabie | Structures, faces, rates, holds, bookings, digital loops, map and calendar | Free to 100 faces; then $0.25 a face a month |
| Spreadsheet | Whatever columns you make | Tools you may already have |

Apparatix says it keeps [real-time avails](https://www.apparatix.com/fulfillment-and-operations-in-ooh/) across
business units. It also tracks vinyl and other physical material in a warehouse. Its
[homepage](https://www.apparatix.com/) says it serves 400 or more operators.
[Quantum](https://online.billboardplanet.com/quantum/) holds specs, maps, photos, demographics and lease details for each
face. [SignDash](https://signdash.com/) tracks faces and their availability, and reports expected revenue for a period.
Its [terms](https://signdash.com/tos) add $250 a year for each extra 100 faces.

[Elevate OOH](https://billboardinsider.com/?p=141696) is new. It lists inventory management and links your website
inventory and location maps to its leads. Its [site](https://elevateooh.com/) lists plans from $350 a month.

[Watchfire](https://www.watchfire.com/ooh-billboard-operators) says Ignite OA has inventory features, and tools to
schedule and rotate ads across your network. It says Ignite OA comes standard with every Watchfire digital billboard.
That makes it a content system for those boards first. Its page does not mention proposals, leases, billing or a CRM.

## Is a spreadsheet enough?

For some owners, yes. In a [2026 Billboard Insider poll](https://billboardinsider.com/billboard-insider-billboard-software-poll-results/),
14% of the readers who voted named an Excel spreadsheet. That is a reader poll, not a survey of the industry.
A sheet works when you own a few boards, and the same tenants renew. It stops working when you have empty faces, more
than one rep, or digital loops. A sheet will not warn you that two people promised the same face.

Some owners build a custom database. The 2024 poll article describes
[Caspio](https://billboardinsider.com/quickbooks-apparatix-and-billboard-planet-are-most-used-ooh-software-tools/) as a
cloud database a billboard company can shape to track inventory, upkeep and install schedules. Build only if someone
will keep it running.

## What goes wrong without a shared record?

Most inventory trouble is small and repeated. Watch for these.

- **Stale rate sheets.** A rep quotes last quarter's price.
- **Holds with no end.** A face looks taken, but nobody is buying it.
- **Two calendars.** Sales and operations disagree about a face.
- **Lease dates in a drawer.** A flight is sold past the lease.
- **Old photos.** The view changed, and the buyer sees it first.
- **Digital time sold as a whole face.** The buyer expects every play.

Each one costs a sale or a phone call you do not want to make. A shared record fixes most of them.

## How do you choose?

Follow these steps.

1. **Count your faces.** Include digital slots. This sets the plan and the price.
2. **List your pains.** Double bookings, stale rates, missed lease dates, unsold digital time.
3. **Bring your own data.** Ask each vendor to load 20 of your real faces in the demo.
4. **Test a double booking.** Try to sell one face twice. See what happens.
5. **Ask about leases.** See whether a sale past the lease end is flagged.
6. **Ask about price.** Get it in writing, for your count of faces and users.
7. **Ask how you leave.** Get a full export.

Then decide whether inventory should live in a back office or in your sales tool. Pick one system to own availability.
If two calendars disagree, a face gets sold twice. Our [management software guide](https://gabie.ai/learn/billboard-management-software)
and [best billboard software](https://gabie.ai/learn/best-billboard-software) list the choices.

## Should inventory live in the back office or the sales tool?

Either can work. What matters is that one system owns the dates. A back office such as Apparatix or BillboardPlanet
ties inventory to billing, work orders and leases. A sales tool ties it to the pipeline, proposals and renewals. Many
owners use both. If you do, choose which one is the source of truth for avails, and copy from it only. Ask each vendor
how its data reaches the other system. Gabie, for one, uses an export today, not a live link.

## How do you move your inventory in?

Most owners start with a sheet. Clean it first. Give each face a clear ID, such as B-114 N. Add the size, the facing,
the rate and the end date of any live booking. Then ask the vendor how to load it. A good vendor shows a preview before
anything saves, and lists the rows with errors.

> How Gabie handles this: Gabie keeps structures, faces, rate cards, holds, bookings and digital loops in one record. Upload a CSV of up to
10,000 rows, or drop in sheets, leases and permits, and Gabie reads them. You check what it found before anything saves.
Holds lapse after 48 hours. Each digital face stores its loop length, spot length and slots, and Gabie checks the room
before a booking saves. It has a map, a calendar, a printable avails sheet and a CSV export. It does not sync live with
Apparatix or Broadsign today. See [Gabie Inventory](https://gabie.ai/platform/inventory).

## Questions people ask
### What is billboard inventory?
It is everything you can sell. That means your structures, the faces on them, each face's rate, and the holds and bookings on every date. For digital faces it also means the slots in the loop.

### How is billboard inventory different from retail inventory?
Retail inventory counts items that sell once and run out. A billboard face is rented again and again by date. The software has to track who has it, and when.

### Can I track billboard inventory in a spreadsheet?
Yes, for a few boards with long-term tenants. A sheet cannot warn you about a double booking, and it has no map or calendar. In a 2026 Billboard Insider poll, 14% of readers named Excel.

### How does billboard software handle digital loops?
It stores the loop length, the spot length and the number of slots for each face. Each booking takes one slot. Gabie checks that the loop has room before it saves.

### How much does billboard inventory software cost?
Gabie is free up to 100 faces, then $0.25 a face a month. Elevate OOH lists plans from $350 a month. Apparatix and BillboardPlanet quote after a demo. SignDash sets its price at signup.
